Creative Non-Floral Centerpieces for Charity Auction Fundraisers

Many of the benefit auctions I work use a floral centerpiece on the table. I certainly enjoy the freshness they bring to a table, but I’ve also seen some creative non-floral centerpieces at my auction fundraisers.

Most often an organization will opt for a non-floral centerpiece due to cost. As attractive as they are, flowers can be expensive. Flowers are a “nice to have,” not a “need to have,” so they can be quickly cut from a budget. But you still want to have an attractive table arrangement.

Many non-floral centerpieces can also be made or assembled by kids. This is useful if you are running a school auction or a non-profit which benefits children.

At the “Night at the Museum” benefit auction each table had a creative centerpiece showcasing a different museum around the United States. A popular table hosted the National Baseball Hall of Fame museum.

Often times, a benefit auction will opt for a cornucopia when they go with non-floral centerpieces. What I am calling cornucopia is the tablescapes that are created with a collection of items and those might not be consistent across all the tables.

If you have volunteers managing the centerpieces, each member might be assigned a table and have a list of supply options that can be sourced from a personal collection or home. The centerpieces will help execute the theme, but each is going to be different. It will be easier for volunteers to pull items from their homes, like blue bottles and shells, to coordinate tables. The tables won’t be exact matches, but the cost of a professional florist is eliminated and the theme can still be carried out.

Last fall, my team and I worked an event in southern Virginia which was one of the most attractive events I’ve ever attended. It wasn’t a large audience – the crowd only numbered around 225 – but the decor and atmosphere was exquisite! It was one of the more magical auctions I’ve attended.

The theme was Treasures of the Deep. All-things-of-underwater-intrigue could be found here. The dark, mysterious, quiet of the ocean seemed to come alive in this auction fundraiser.

One of the elements that made this event so eye catching was the centerpieces. I couldn’t help but admire how creative the florist had been to create such elegant focal points for the tables.

Every centerpiece was different. Some were more traditional centerpieces, whereas other tables had collections of items one might imagine to be found on a sunken ship, like unusually shaped and dark-colored bottles. Collections of shells, starfish, and stones were scattered about the table.

For those tables with a “living” element, the predominant vegetation looked like sea grasses. Other centerpieces consisted of arrangements of unusual plants that were reminiscent of an underwater garden.

Taking Advantage of Social Media: 12 Ways to Promote Your Charity Auction Using Facebook, Twitter & LinkedIn

Social media applications like blogs, LinkedIn, Twitter, and Facebook can be useful tools in helping you achieve guest mind share. Not only are these tools free to use, but they enable you to relay short, constant reminders about your cause and your auction.

Creating “something to write” can be overwhelming for some people, so to get you (or your volunteer P.R. person) started, below is a list of specific suggestions on what to write.

1. Announce donations: When a donation arrives, announce the item, thank the donor, and provide a link back to the donor’s website. Be sure to include a photo, if possible.

2. Ask for a donation to round out a package: “We need a florist to donate a bouquet to complete our Mother’s Day package.”

3. Testimonials: Auction fundraisers should be mission-focused. Keep your supporters updated with successes. For instance, “Peggy is off the streets, thanks to our non-profit,” or “Jeremy credits St. Stephens’s art teacher in giving him the confidence to pursue art in college.”

4. Event Preparations: Share a photo of the decor committee drawing backdrops for the auction, or the Gala Chairs meeting to send out invitations. This shows that others are getting involved and making plans to attend the event.

5. Special announcements: Share news. “In just three weeks, we’ve surpassed 50 raffle ticket sales.” Or, “Only 200 seats left before sell-out!”

6. Apply gentle pressure to past donors: A post such as, “We sold a lovely 2-night stay at the Fairmont last year, and are hoping they’ll donate again,” might work. Include a link to the hotel, and then contact the hotel so they see how you are treating them kindly – even before they donate.

7. Answer questions: Make the questions up, if you need to. “A new family to our school asked what was appropriate to wear to the auction. Here’s our answer, and we included three photos of past guests.”

8. Create a list: You can create a list on almost anything. “Top 5 Reasons to Attend our Gala.” “Three Ways You Can Volunteer That Will Take Less Than 2 Hours per Week.”

9. Seek specific volunteers: “Any math lovers out there? We need an auction clerk, and your primary job is recording numbers at the auction. Any takers?”

10. Link to relevant websites: “In 55 days, our auction will be raising money for cancer research. Here’s a link to fascinating article written by XYZ about the need for a cure.”

11. Support your supporters: When you notice that one of your supporters (e.g. a school parent, a Board member, an auction donor) is mentioned in the paper, link to it and promote it. “Parent Joe Smith just got promoted and here’s the link. Way to go, Joe! We look forward to congratulating you in person at the gala next Saturday.”

12. Call to action: Try to encourage audience participation (or at least get the audience to consider participating). Something like, “Early-bird pricing on gala tickets ends tomorrow,” or “Get your gala dress at Lord & Taylor this weekend. The store has special occasion dresses on sale.”

3 Questions to Ask to Guarantee the Authenticity of Your Autographed Charity Auction Items

Coordinating your organization’s charity fundraising efforts is challenging enough already — sourcing venues, attracting donors, booking entertainment. The list seems endless. Add verifying the authenticity of autographed silent auction items to the equation, and you’ve heaped another massive undertaking onto your growing to-do list. Right? Well, maybe not.

The fact is Tom Cruise won’t return your phone calls requesting he personally authenticate his autograph for your charity fundraiser. He also didn’t appreciate your excessive e-mailing and unannounced visits. But, authenticating the autographed memorabilia for your charity events is easier than you might think. It all comes down to asking the right questions.

Question #1: How did your firm acquire the charity fundraising items you offer?

Did you know Miley Cyrus signs guitars with what looks like a giant, cursive “N” looped into an even bigger, cursive “S,” but she signs pictures “Miley” with a heart over the “i”? Of course you didn’t.

But, plenty of autographed memorabilia counterfeiters did. By only working with professional charity fundraising firms and asking their representatives where they acquired all the cool stuff they’re offering, you’re taking a step toward authenticating your auction items.

There are plenty of ways to acquire celebrity autographs, but the only way to truly guarantee authenticity is through firsthand observation. That means the correct answer to Question #1 should not be, “I buy all my autographed guitars from a wholesaler” or “I trade autographed baseball cards with the kid up the block” and certainly not “I know a guy.” Anyone who “knows a guy” is probably not a guy you want to be doing business with.

No, the only acceptable answer to Question #1 is, “We personally witness every celebrity sign each and every charity auction item on our shelves.” It’s hard not to feel good about that kind of confidence.

But, that’s only Question #1, and your silent auction is too important to leave anything to chance.

Question #2: Prove it!

OK, so “Prove it!” is more of an order than a question, but you get the picture. If a firm’s representatives really have witnessed the signing of every fundraising item they offer, there are plenty of ways for them to prove it. The first way is commonsense, really. If you were standing next to Angelina Jolie or Robert De Niro, wouldn’t you take a picture? Of course you would! If the representatives of a professional charity fundraising firm have witnessed each charity fundraising item autographed in person, they should have some candid shots (and probably some great stories!) to back up that claim.

Each auction item should also be catalogued with a date and location where the item was signed. This adds a level of authenticity that’s difficult to duplicate, especially in an age when a simple Web search will turn up the whereabouts of just about any celebrity on the planet at any given moment in time. All this information should be included on the certificates of authenticity provided with your fundraising items. There’s one other thing those certificate should include, and this one’s a biggie.

Question #3: Are you willing to 100% guarantee all your auction items?

Quality vendors, whether they’re selling cheeseburgers or table saws, show tickets or autographed items for charity, should be willing to provide their clients with rock-solid, money-back guarantees. If even after successfully answering questions #1 and #2 about their silent auction items, a firm can’t stand behind its products with a 100% guarantee, there’s no need to ask a fourth question. At that point, it’s time to move on to a supplier willing to stand behind the quality and authenticity of its autographed memorabilia.

Fundraising for charity presents an abundance of challenges, but guaranteeing an auction item’s authenticity shouldn’t be one of them. The correct answers to these three, simple questions are all it takes to make this process both simple and painless — especially since Tom Cruise still hasn’t returned a single phone call, and you know you’re not going to like that wrist hold from his bodyguard any more the second time around.

Every auction is made more interesting when there are a few unusual items that get guests talking. I have a great item idea for your next fundraiser.

Today I drove past a chain link fence with a large sign that read HEAVY EQUIPMENT TRAINING ACADEMY. Bulldozers, dump trucks and other construction equipment sat behind the fence. On the other side of the street was another chain link fence with even more equipment.

A search on Google told me what I already knew — the Academy was a training school for those interested in learning how to operate heavy equipment. A bit more internet digging revealed there are many of these heavy equipment schools across the country.

Although the individual training courses offered by most of the academies appeared to be several weeks long, it got me to thinking. I wonder if an academy might be persuaded to donate a one hour hands-on lesson (with an instructor) to operate a bulldozer? Or a backhoe? Or an excavator?

Eight Ways to Market Your Handmade Soap Business

If you have your own soap making business, you know it can be a challenge to find new markets for your handmade soap. It may surprise you to learn there are a variety of low cost and even free ways for you to market your soaps. Here are some ideas:

Though most free conference calling services are long-distance numbers, it rarely stops people from participating because of the popularity of unlimited calling plans.

The day before your meeting (and maybe the morning of), send out a meeting reminder. Include the phone number and access code.

Most free teleconference services allow you to record the call for free. After each meeting, email your entire committee the link to the recording. Those who missed the call can get caught up to speed on their own time.

Teleconferences are more convenient than in-person meetings, but trickier to run. To avoid problems, establish some rules and announce them at the beginning of each call.

For example, participants might be at home washing dishes, stuck in traffic, or attending a child’s soccer game while dialing into the call. Background noise can become an issue, so as the meeting begins, you might remind everyone to mute themselves, unless they have a question (consult the teleconference service website for instructions on how to mute the call).

Additionally, social norms about politeness are harder to sense on a teleconference. Imagine what would happen if three people in a call of two dozen participants started talking at once! It’s not easy for the organizer to “get louder” and take back control of the meeting. On a phone call, you don’t have visual cues to tell you to “be quiet.”

What about you, Helen? Any input/questions from you?”  It’s tedious, but it gives everyone a chance to weigh in.

Whether you meet in person or on the phone, use an agenda.  Make notations about how much time each committee chair or each subject will be given for discussion … and stick to it.  If you have to cut someone off, you can easily blame it on the schedule. ”In the interest of time,” you could say, “Could you meet with Deb and confirm the check-out process offline of this call?” Remember, volunteers are much more likely to participate if they know you are valuing their time.

With these tips in mind, you’ll be able to streamline the planning of your charity auction.
